Your CRM, ERP, and reporting numbers don't match because each system measures revenue differently, updates on a different schedule, and often has no agreed source of truth for shared data.

The most common causes are inconsistent metric definitions, sync timing gaps, mismatched account structures, silent integration errors, and manual adjustments made outside the system. Fixing it takes aligned definitions and a clear data architecture, not more reports.

### Each system defines revenue differently

Your CRM tracks bookings when a deal closes. Your ERP recognizes revenue when it's invoiced or earned. Your BI tool may calculate ARR from subscription data. All three numbers can be correct and still not match, because they answer different questions. Without a shared metric dictionary, every team reports its own version of "revenue."

### Data syncs on different schedules

Integrations often run hourly, nightly, or in batches. A deal closed at 4 p.m. might show in the CRM right away, reach the ERP the next morning, and land in your dashboard after the weekend refresh. At month-end and quarter-end, these gaps turn into real discrepancies.

### No system of record for shared fields

When the CRM and ERP can both edit fields like account name, billing address, or contract value, each system ends up holding a different version of the truth. Every critical field needs one owning system, with updates flowing one way.

### Account structures don't align

Your CRM may organize customers by parent and child accounts, while your ERP organizes them by billing entity. When one customer shows up as three accounts in one system and one in another, revenue gets split, doubled, or rolled up under the wrong parent.

### Integration errors fail silently

A required field is missing, a picklist value doesn't map, or an API limit is reached, and the record never syncs. Most integrations don't alert anyone when this happens. Missing records pile up until someone notices the totals are off.

### Manual adjustments happen outside the system

Finance adjusts numbers in a spreadsheet. RevOps applies a filter in the dashboard. Neither change goes back to the source systems, so each report reflects a different set of corrections.

## How to get your numbers to match

Start with a metric dictionary that defines each KPI, its formula, and its source system. Next, assign a system of record for every shared field and map how objects relate across platforms, such as opportunity to sales order to invoice. Finally, add sync monitoring and a regular reconciliation process so issues surface in days, not at quarter-end.
